4-H Dog Project Meeting
September 20, 2008
A joint meeting of the Florida
4-H Dog Project Committee and the State Fair 4-H Dog Show Committee was held at
the Florida State Fairgrounds Equestrian Center at 12:00.
TOPIC: Florida
4-H Dog Project Scholarship Fund Update
- Treasurer
June Lyness
- Starting
balance for the 2009 & 2010 fund is $774.83.
- June
has $350.00 that was just donated by the Imperial Polk Obedience Club and Ridge
Veterinary Association (Polk County) to add to the fund. This brings the total
to $1,124.83. June will start an account at SunTrust with the donations.
The Scholarship Fund account will be applying for a 501 (c)3 tax exemption
status, so we can supply donors with a letter to write off their donations.
- Raffle items
left over from May 17th show will be used to raise money
at State Fair show. Please work on finding corporate sponsors and
coming up with fund raising ideas.
- Kim
Edmister volunteered to be Scholarship Fund chair. Her duties will include
overseeing fundraising activities and getting thank you notes out to the
sponsors and donors.
- Please note
that the EIN number will change this year.
- Sally
Alford-Manning is in the process of scheduling a spring dog show
(tentative date) will be March 14, 2009 to benefit the Scholarship Fund.
We discussed prize options and determined that the cost of prizes, ribbons,
judges gifts and volunteers food needs to be included with the show expenses.
- Liz
Piquet & Linda Van Cleve will be trophy chairs. Beverly
Ruble will donate trophies. Trophies will be for High Point & Best
Junior, and the other prizes will be determined later. It was decided not to
offer large cash prizes (for Best Junior & High Points) in 2009 that cost
$500.00 in 2008.
- The goal is
to for the Scholarship Fund to eventually be a self supporting perpetual fund.
It is expected that a little over $20,000.00 would be enough to accomplish
this. The Florida 4-H Dog project will furnish the Scholarship Show expenses
for the spring show, from profits from t-shirt sales and other Florida 4-H Dog
Project fundraising activities.

4-H Dog Project Update
- Treasurer:

- The starting
balance is $100.00. The project will be applying for a 501 (c)3. Cynthia
will start an account at SunTrust with the donation. The fund will be used to
pay for the website bill, State Fair subsidized trophies (Phyllis White &
Hilliker Awards), judges gifts and volunteers food, if needed. The food expense
could be reduced considerably or eliminated if a volunteer steps forward to
coordinate food donations.
- June
has been working hard creating a standardized rule book for all Florida 4-H dog
shows. Copies were distributed with the request that leaders look them over and
send any corrections or suggestions to June. The rule book is based on
the Kansas state rules with added AKC Rally and substituted the Florida
Showmanship. Modifications in Obedience and Rally have been made for the
Florida project needs. Any modifications are highlighted in italics.
- Sue
Spencer is putting together a height card and it will be ready by the
1st dog show. She will have wickets & make sure there is someone
at each show that is trained to use the wickets. Height cards will be
pre-printed and will contain heights for each class, and the DOB/age of the dog
to determine eligibility for participation in agility and eligibility for
special height considerations. Please make sure that kids who have never
practiced agility do not enter agility at any shows.
- Florida 4-H
T-Shirts Fundraising tool there is a need to do something different with
our Florida 4-H Dog Project shirts, so a new design has been planned for this
years t-shirt which includes the special centennial designation. All
T-shirts will be 4-H green. Hillsborough County 4-H dog announced they will
make a loan for the 1st printing, to be repaid when money is
available. The design of the polo shirts was also discussed. Liz Piquet
is coordinating the printing. She advised the 1st batch should be
ready to sell about a week and a half after the first order is received. Shirts
will be sent to each of the (participating) counties to sell at their shows.
- State Fair
Show Programs - Any profits (after printing expenses) will go to pay state fair
show expenses, anything leftover will go to the Florida 4-H account.
- Scholarship
Show Programs Any profits (after printing expenses) will go to re-pay
Scholarship Show expenses (to the Florida 4-H Dog Project).
- Please try
to get sponsors to advertise in both of these show programs. It was decided to
charge the same advertising rate for both event programs. Suzie Manning
was selected to sell program advertising space. After the meeting Patty Martin
volunteered to Chair Program Ad Sales.
TOPIC: State Fair 4-H Dog
Show Feb. 7 & 8, 2009
- All counties
were asked to bring raffle prizes for the Florida State Fair.

- Volunteers:
We all know the importance of volunteers. The military volunteers last year
were very much appreciated. The military contact has been deployed and will not
be available for a while. There is still a need for lots of people. We just
need to ensure that at least one volunteer on each team is experienced enough
to know what he/she is doing and lead the others. There are job descriptions
for each volunteer position that will be shared with all the leaders.
TOPIC: Florida
4-H Dog Project Website
- Please send
all updates to Gordon Ruble to put on the website. The major thing is
getting the outstanding member of the month to Gordon to post. The
suggestion was made by June to also feature outstanding volunteers; all
agreed this is a good idea.
- On the topic
of fundraisers, donors can advertise on the website. But there will need to be
a release for any logos.
- Gordon has been able to get a 1 terabyte upgrade. This
will allow for expansion, will support steaming videos and other high memory
features.
- Everything
that goes on the website needs to go through Sally who will coordinate
the submissions to be sent to Gordon.
- Please,
everyone, make sure to check and update your Countys page on the website.
Some of the items are outdated and really need to be replaced.
TOPIC: Dog Bowl
- Katherine
Croft announced that volunteers are needed to help with events and provide
input on topics, questions, suitable materials, and such.
- Once she has
a dog show schedule, Katherine will arrange for Dog Bowl to be there.
The goal is to schedule 6 or more shows this year.
- The
projectors used last year need to be replaced. Replacement projectors will cost
about $600.00.
